Just like any other organization, BPOE 201 depends on dedicated leaders to keep things running. Our officers are volunteers, elected by the members, and work long hours to make our lodge the great place Austin Elks call home. All of the officer titles, duties, terms, and election rules are set forth in Chapters 12, 13, and 16 of the BPOE Constitution and Statutes and the BPOE 201 By-Laws, Articles V - VII.

The Secretary is the "hub of the wheel" for the Lodge. While the Exalted Ruler has ultimate responsibility for the administration, the Secretary is relied upon for a great deal of support across the board. Proper performance of the Secretary's duties is so vital to the Order and the Lodge that a Secretary's Manual (Code 5108) has been prepared treating them in detail. This position does not follow the same term limits as the other officers. For the faithful execution of the office, the Secretary gives a $5000 bond to the Lodge and receives annual compensation of $1500. The Secretary is also required to attend the Clinics of the District Deputy Grand Exalted Ruler.

The duties of the Secretary with regard to membership are to keep correct accounts between the Lodge and its members, assign each member a number, and keep correct mailing lists of the membership for both the Lodge and The Elks Magazine. The Secretary informs all prospective members of their election or rejection and mails the information about applicants to all Lodge members. Members who are delinquent in their dues are informed by the Secretary, and the membership rolls are adjusted to reflect such delinquency and cancellation.

The Secretary receives all monies due to the Lodge and pays them to the Treasurer and issues all certificates relating to the business of the lodge. When the Lodge wishes to sell, lease, purchase, exchange, finance, make a gift, or make substantial alterations on the real property of the Lodge, the Secretary makes a written notice of such propositions to the entire membership and forward the application for permit and necessary supporting documentation to the Board of Grand Trustees. When required by State Law, the Secretary files or records the Articles of Incorporation and By-Laws.

It is the duty of the Secretary to keep the minutes of all meetings of the Lodge and prepares the Annual Report for the Grand Lodge. The Secretary attends to all correspondence and presents all received communications to the Exalted Ruler and the Lodge. The Secretary also prepares semi-annual reports of the office's activities for the Lodge.
